PURPLE POST January 2022

A warm welcome to the January edition of Purple Post.

We hope that everyone has had a good January, and are ready for a busy year ahead!

In this month’s edition, we have a really comprehensive ‘Health and Safety at Home’ guide from the People Team, an update from our Functional Skills team and we bring you some exciting new Abacus features from our Software Development team. We also have quite a few new starters to introduce to you all - happy reading!

Update from the People team

Health and safety at home:

We want to remind our people that there are some things that you can do to support your health and safety whilst working from home. Here are a couple of examples that we have collated.

If you have any questions, please do reach out to your line manager or the People team.

Working on a computer:

You should take simple steps to protect your health when working on a computer. We have a new CPD course coming soon which will cover your safety at home.

Try to find a suitable area to work in, avoiding uncomfortable positions and making sure you move around regularly.

Your work environment:

Wherever you work in your home, there are some things you can do to keep yourself healthy and safe:

  • Arrange equipment and furniture to avoid trailing leads and cables
  • Check that your plugs, leads, wires and cables are in good condition
  • Keep your work area tidy and free from obstructions that could cause slips or trips
  • Check you have adequate lighting in your work area to avoid eye strain

Stress and mental health:

There are some things you can do to help prevent stress and look after your mental health when working from home.

  • Stay in regular contact with your manager and colleagues
  • Talk to your manager about workloads and be open about how you’re feeling
  • Take regular breaks during the day and use your annual leave
  • Set and stick to a routine – don’t revisit your computer outside your regular hours

If you think your work is affecting your mental health or wellbeing, please do reach out to us.

Functional Skills team update

  • The new Functional Skills timetable starts on 10th January, and we will be sharing the ‘Legacy Learners’ (the learners who are sitting with Seren) and the main Functional Skills tracker with RTMs on a Friday. This will give tutors the ability to check on the progress of their learners.
  • We are currently working with OneFile to create specific courses for Functional Skills and will have an update soon!
  • We are advertising for a new Functional Skills tutor with a speciality in maths to replace Salman and all his learners will be reassigned to a new tutor.
  • The Functional Skills handbooks are being sent out to learners newly assigned or not yet assigned to a Functional Skills tutor.

Software Development team update

The following improvements have been made to Abacus, making the system more efficient for our customers.

Family section improvements:

  • Ability to sort carer list
  • Existing ‘other phone field has been replaced with ‘mobile number’
  • The enquiries user journey has been improved by removing unnecessary mandatory children section improvements
  • Ability to sort children list
  • Credit notes and reverse payments can now be hidden from the parents’ statement
  • The existing Language option has been replaced by Primary Language and Secondary Language option
  • Language report and child data form report have also been updated with the new language options

Finance section improvements:

  • An ‘all balances’ filter and an ‘email receipt on saving’ have been added

Staff section improvements:

  • Ability to sort staff by name

Important: polite reminder from the Marketing Team:

When sending documents to the Marketing team for creating and / or branding, please ensure that the final version which has been approved and signed off by all relevant parties and line managers - including those from other teams – is sent to the team. Please also ensure that the correct data with all the required fields is included as a CSV file.  This will avoid re-work and delay in returning the documents back to you.

Thank you!
