Welcome to Spring! The clocks have sprung forward, and April is here at last! This month, we’re celebrating achievements, sharing updates, and highlighting the incredible work happening across our teams.

As the spring sun breaks through and the nights get lighter, the South Team has hit full throttle for our busiest time of the year! With a "pin-point" focus on year-end, we are pushing every completion to give our QAR that vital final boost. A massive congratulations to our individual silver award winners, Lauren Matthews and Naomi Paternoster, for their incredible February performance, and an even bigger "WELL DONE" to the entire South Team for clinching the Gold Award for the most completions overall! Let’s keep this golden momentum and elite teamwork going as we smash our year-end targets.

This month I attended the Childcare Expo with Richelle – it was an amazing experience! We had the opportunity to meet current learners, connect with contributors from the magazine, and have some really valuable conversations with people who are just starting out in childcare or opening their own settings.

We were proud to showcase everything we offer, including our software, recruitment service, training, and our charity the Parenta Trust.

Allan’s book was especially popular at the event! Don’t forget to mention it to the settings you work with – it’s a fantastic read and is available on Amazon.

I’m really looking forward to April and the chance for our teams to enrol some of the new settings and learners we connected with at the expo!

Introducing our Fast-Track Level 3 EYE apprenticeship!

Proving our commitment to the sector, we have developed a unique solution to the ever-growing staffing crisis and have launched a Fast-Track Level 3 EYE apprenticeship.

Fast-Track Level 3 Entry Criteria For Employers:

The employer must be present during any learner(s) onboarding call.
The employer must attend every review.

Fast-Track Level 3 Entry Criteria For Learners:

Learners must hold Level 2 Maths (or equivalent) or be prepared to sit a supervised initial assessment on BKSB and must score Level 1.5 and above. If they require Maths and meet the above criteria, they MUST complete work every week via the online course.
Learners must have an established group of Key Children practice (circa 3 months of OPA -observation, planning and assessment).
Learners must commit to attending 1 live teaching session per theme.
To complete the fast-track level 3 apprenticeship in the accelerated timeframe, learners will be required to complete extra off-the-job hours every week.

It’s been a busy and productive month for the team, and I’m proud of everything we’ve accomplished together.

First, a very warm welcome to Wahida – we’re delighted to have you on board! We’re excited for the experience and perspective you bring, and we’re looking forward to the impact you’ll make.

We have been heavily focused on the Matrix and the Audit over the past 2 months. It’s been fantastic collaborating not only within our immediate team but also with colleagues across wider departments. The teamwork, openness, and shared commitment to excellence have really stood out.

We’re also currently reviewing and enhancing our onboarding process to ensure it continues to reflect our customer-focused mantra. We aim to streamline where possible, strengthen consistency, and elevate the overall experience – while building on the fantastic IAG we’re already delivering, as reflected in the Matrix results.

Thank you to everyone for the continued collaboration, dedication, and positive energy. Excited for what’s ahead!

Rosie Presland – Customer Experience Manager

Customer Experience is kicking off a major revamp, revitalising our software and transforming how we support nurseries, guided by Allan’s book "Childcare Superhero: Transforming Your Childcare Business". We are repositioning Parenta as a partner in success. Jamie is leading the creation of an incredible customer course that turns the book into practical, confidence-building guidance on using our software – a huge step forward and fantastic work, Jamie.

Jo Wade – Head of MIS, Audit & Compliance

(A summary of Jo’s message posted in the Parenta Group thread)

We’ve received our PFA Mock Audit feedback and achieved a strong 1.2% error rate! The only error (£600) related to LSF claims made before learners had signed their support plans. We’re already fixing this to prevent future risk. This is a very low error rate for a TP - going over 5% would trigger a deeper investigation. Huge thanks to Lorraine White for getting all Training Plans compliant - without this, we’d likely have exceeded 5%.

Strengths

Regular apprentice activity evidenced
Strong compliance checks
Fewer systemic issues than typically seen

High risk

LSF claims made before plans were signed (systemic backdating risk). Although LSF is a small proportion of funding, the projected risk for 2025/26 is £16k–£32k.
English & maths evidence gaps (historic) - missing or insufficient evidence of learning, particularly for withdrawn learners, creating recovery risk.

Medium risk

English & maths delivery not always matching training plans (2025/26), and some learning completed outside paid hours.
ILR start dates and enrolment evidence are not always aligned.
Delayed ILR reporting of English & maths aims (underclaim and compliance risk).
Price mismatches and rounding issues between training plans, ILR and EPA charges.
Minor co-investment reporting discrepancies.
Late payment of young apprentice incentives.
Breaks in learning are not always recorded using the last evidenced learning date (risk to funding and QAR).

Low risk

Some OTJ entries may be ineligible or too vague.
Missing proof of EPA payment.
Late signatures and limited audit trails on e-signatures.

Overall:
Processes are generally strong, but controls need tightening around LSF claims, English & maths delivery/evidence and ILR timeliness, and price/co-investment accuracy to reduce funding recovery risk and improve audit readiness.

Matrix Re-Accreditation Success!

We’re delighted to share that Parenta has successfully achieved Matrix re-accreditation for a further three years following our recent assessment.

The Matrix Standard is the DfE’s quality mark for high-quality information, advice and guidance (IAG), ensuring learners are supported at every stage of their journey to reach their full potential. The assessment is rigorous and wide-ranging, and this outcome is a real testament to the work happening across the organisation.

The assessment included a detailed review of our policies and documentation, alongside conversations with:

44 members of staff
17 learners
5 employers and partners

What the assessment highlighted

Our people
Staff consistently spoke about strong teamwork, passion for learners, manageable caseloads and the benefits of remote/hybrid working and a healthy work-life balance.

Our learners
Learners praised the depth of support they receive, meaningful reviews, helpful and responsive staff, and the confidence they gain through their learning. Many shared how their apprenticeship has opened up progression opportunities and helped them feel more confident in their roles and able to support others.

Our partners
Employers and partners described Parenta as a trusted, ‘go-to’ provider, highlighting excellent relationships, consistent support and flexibility in meeting their needs.

Key strengths recognised

Strong leadership and a clear, data-driven culture
Clear improvement and impact since the last assessment

Looking ahead

Welcome to the January issue of Purple Post!

Happy New Year, everyone!

Looking back on 2025, it was a year of change, challenge and determination, with a fair few frustrations along the way too, but also lots of moments to be proud of. Through it all, our fabulous teams pulled together, supported one another and kept going with positivity and care. That sense of collaboration is exactly what we’re taking with us into the year ahead.

Proving our commitment to the sector, we have developed a unique solution to the ever-growing staffing crisis and have launched a Fast-Track Level 3 EYE apprenticeship.

Fast-Track Level 3 Entry Criteria For Employers:

The employer must be present during any learner(s) onboarding call.
The employer must attend every review.

Fast-Track Level 3 Entry Criteria For Learners:

Learners must hold Level 2 Maths (or equivalent) or be prepared to sit a supervised initial assessment on BKSB and must score Level 1.5 and above. If they require Maths and meet the above criteria, they MUST complete work every week via the online course.
Learners must have an established group of Key Children practice (circa 3 months of OPA -observation, planning and assessment).
Learners must commit to attending 1 live teaching session per theme.
To complete the fast-track level 3 apprenticeship in the accelerated timeframe, learners will be required to complete extra off-the-job hours every week.

As we wrap up 2025, this month’s edition is full of celebration, gratitude and some fantastic team achievements. From the South Team’s brilliant QAR results and flawless compliance activity to exciting curriculum and EPA developments for the year ahead, there is so much great work to recognise.

As November has come to an end and the weather starts to become much brisker, we can take some time in December to reflect on the hard work we have put in over 2025! As a South Team, we have been able to celebrate weddings, babies and, of course, the most important thing of all - hitting the highest QAR for 2 years running!! Finishing this year at 64.3% ……. Roll on 75% QAR for 25/26!! (No pressure, guys, ha ha ��)

We have also seen some faces leave us to go on new adventures, and in their place, some wonderful new tutors start their career journeys with us! We still have plenty of work to do in the lead-up to Christmas, but we must all take the opportunity to pause and look back to see how far we have come!! Thank you from the bottom of my heart to each and every one of you for your hard work and dedication this year! Here’s to a very exciting 2026!!

Compliance Shout Out!!

To all the Ops Managers and each and every tutor in the regions, a massive well done to you all for having not ONE learner without activity in the last 2 months! Which means we have not needed to freeze cash for anyone for this reason. This is simply amazing, and I cannot thank you guys for this constant push for OTJT activity.

To Layla MacFadyen and all the TAs - a huge well done for having ZERO form errors outstanding! It's one thing getting Starts over the line, but quite another getting them through compliantly.... at MONTH END! Thank you all for your consistent hard work keeping us compliant! Eligibility and Initial Assessments are the first stop for an auditor when reviewing a learner file, and such an important piece of evidence.

A huge thank you to my guys, as always, for being simply amazeballs. We had a meeting with our Apprenticeship DfE Manager last week, and there was a 'well done' (if you were in the meeting, you would know how much that means) for the turnaround in our data. He even asked how we managed it, and if it was due to a change in our system! So utterly proud of everything we've all achieved together as a business, from Starts, to Ops/FS ... right through to EPA ... we’ve got this!

End-Point Assessment (EPA) Preparation

Resources: While awaiting new official Toolkits from our End-Point Assessment Organisation (EPAO), we are proactively creating new mock support questions and resources for Levels 2 and 5.

Level 3: We are also developing a fresh set of Level 3 mock assessments, informed by recent learner feedback and current EPA trends.

Curriculum Alignment

The Teaching & Learning and EPA teams recently collaborated to align teaching tasks with EPA Portfolio of Evidence (PoE) requirements and Observation criteria, boosting learner support for EPA.

The teaching team is currently updating specific tasks, which will be rolled out early in the new year.

2026 Focus

A major focus for both teams in 2026 will be to review and update our teaching materials and EPA support strategies to fully align with the upcoming EPA Reforms and updated guidance

Kirsty Taylor – Training Delivery Manager, South Region

As it starts to get cold and rainy, the South team are still staying on fire with their busy diaries, seeing their learners and making sure we are wrapping a warm hand around them with the support we are giving! We have seen some amazing reviews come through, along with Naomi getting a L5 learner through with a Distinction after the learner was feeling very overwhelmed and at first unsupported. Well-done Naomi!

Mandy Skinner is going on a long-overdue anniversary trip of a lifetime across America!! We look forward to seeing those pictures in November!

As we head into November, we are still working hard to bring our learners in for completion before the festivities start, and our settings start to get very busy! Keep up the good work, South Team - you are all amazing!

In addition to the Training and Delivery team, we have now welcomed our Pastoral Coach team!! Huge welcome to Kirsten Hopkins – Regional Support, Jessica Swingle – Supporting London/Essex, Donna Bennett – Supporting Central, Angela Hulme – Supporting South and Stephanie McCourt – Supporting North.

The Pastoral team are going to be instrumental in bridging the gap in our learners’ early journey from enrolment to meeting their permanent Early Years tutor. They will be the ear and voice of the learner from the start, and onwards. They will also be part of us excelling in learner engagement and really breaking down any barriers for our learners. This is going to be a huge game-changer in demonstrating the remarkable service we give to our learners and employers at Parenta. We are very excited to see the impact; this amazing team of superheroes are going to make across delivery! Huge welcome, ladies!

Huge congratulations to Harry Wren on completing his CAVA qualification. This is a great achievement – well done!

Recently, Kim rescued 3 kittens! She cared for them through the night, has been a taxi back and forth to the vets, and provided everything they could need. This is just a small part of the amazing work Kim does outside of working here at Parenta. Kim also runs a charity kevincares2018 . When she isn’t sampling, processing completions or providing support to tutors, you will find her raising money to support pets in need. She runs various raffles on her social media page and, through the summer months, often spends her weekends attending events. Kim is never far from a furry friend!

Kirsty Taylor – Training Delivery Manager, South Region

Exciting times for the South Team for September! We celebrate professional growth in the team with Emily Hunt, who has been promoted from her tutor role to become our Regional IQA for the South! We also have our lovely Melissa Taylor, who has returned from her maternity leave this month after becoming a new mummy to baby Harriet! Big welcome back, Mel!

Nicky Law started with us in September, and we look forward to what she will bring to our incredible team!

And finally…huge congratulations to Kirsten Donnelly, who has a double celebration! Kirsten will be stepping into her new role in October, again a promotion - into the Pastoral Coach role, but this is only after having been away - getting married in Las Vegas - and will be joining back with us as a Mrs! Big Congratulations, Kirsten ��

So, it's that time again, "Hard Close" which means we are closing one year and have the opportunity to start fresh for the next, 2025/26��

I like to think of this time like a calendar "New Year", and like with any new year, we have the opportunity to sit, reflect and set "New Year's Resolutions"

Each year, we have become more and more compliant, with departments working in unison to achieve the same goal. So, what do we have in store for the "New Year", from a funding perspective? Whilst we continue our journey for 100% compliance and preparation for Audit, we will also be looking at tapping into new funding streams and local authorities, to enable Parenta to become an all-round Early Years Training Provider, with the ability to offer a number of opportunities to develop our next Early Years Practitioners.

I'd like to thank each and every one of you for your commitment in 2024/25, and here's to the New Year – cheers! ��

This month, we were delighted to welcome two new members to the team, Lanya and Jennifer. We’re thrilled to have them on board and look forward to the valuable contributions they will bring.

We also wished Amy Clifton well as she begins her maternity leave - sending her our very best as she embarks on this exciting new chapter in her life.

I also had the opportunity to carry out face-to-face one-to-ones with the tutors. It was wonderful to meet in person, strengthen relationships, and discuss opportunities for professional growth and development. It has truly been a pleasure to connect with everyone.

Finally, a big well done to Kimberley Honey, who took part in the half-marathon this month — a fantastic achievement!

Our last webinar, Navigating the EYFS Safeguarding Reforms, saw the highest registration rate and number of attendees - setting a new benchmark for success for the marketing team! Well done my fellow Marketeers! I am super proud of you all!

We saw:

681 registrations

318 attended the live session

156 CPD certificates have already been generated and sent out (with more still being issued!)

This achievement shows we’re delivering real value to our customers and community, while strengthening Parenta's reputation in the sector.

Introducing our Fast-Track Level 3 EYE apprenticeship!

Proving our commitment to the sector, we have developed a unique solution to the ever-growing staffing crisis and have launched a Fast-Track Level 3 EYE apprenticeship.

Fast-Track Level 3 Entry Criteria For Employers:

The employer must be present during any learner(s) onboarding call.
The employer must attend every review.

Fast-Track Level 3 Entry Criteria For Learners:

Learners must hold Level 2 Maths (or equivalent) or be prepared to sit a supervised initial assessment on BKSB and must score Level 1.5 and above. If they require Maths and meet the above criteria, they MUST complete work every week via the online course.
Learners must have an established group of Key Children practice (circa 3 months of OPA -observation, planning and assessment).
Learners must commit to attending 1 live teaching session per theme.
To complete the fast-track level 3 apprenticeship in the accelerated timeframe, learners will be required to complete extra off-the-job hours every week.

Sarah Ellis – Quality Manager

I would like to welcome Emily Hunt to the IQA team from 1st September – welcome aboard the quality team.

I would also like to say a huge “thank you” to Kim for the extended support this month with some additional sampling – REMARKABLE work, you have gone above and beyond – thank you!

Lisa Gooding – Teaching and Learning Manager

The EPA team welcomed Ruth Umoren, who will work with the South & Central Teams. Ruth is a great asset to the team and brings along her knowledge and skills to support learners in their EPA. We are also currently analysing our yearly EPA data, and reports will be out soon!

The Teaching & Learning resources and live teaching sessions are up to date to reflect key changes to the sector, including EY Reforms.

Staff who are doing CPD on Eary Years Safeguarding Reforms – this has been added to SharePoint for all, so please do make sure you check this out!

Layla MacFadyen – IAG Manager

This month, I’ve been focusing on developing a new presentation to support our enrolment sessions with both employers and learners. As a team, we’ve held productive brainstorming sessions, looking closely at the enrolment process and how we can strengthen engagement and commitment right from the start.

Working in collaboration with our Marketing colleagues, we’ve finalised a beautifully designed presentation using Canva. The creative input and support from Marketing have helped us bring the content to life in a professional and engaging way – you can see a few images below!

It’s been really encouraging to receive positive feedback on the learner pack we share after enrolment, as well as the OTJH (off-the-job) toolkit. These resources are proving valuable, enabling apprentices to begin collecting OTJHs straight away. Tutors can then support learners during induction by uploading their evidence to OneFile, ensuring a smooth transition into their apprenticeship journey.

Looking ahead, we’re excited that a PDF version of the new presentation will also be available to share from enrolment. This will provide clear, accessible information on apprenticeship delivery, commitment, OTJHs, classroom learning, and more – all designed to set learners and employers up for success from day one.

Emma Harris – Functional Skills and Additional Learning Support Manager

Pass FS is now in full swing, and all learners who started from 1 ^st August are now completing IAs and SKAs (formally diagnostic assessments) on the platform. Tutors have been adding current learners, and they have been working through the great English and maths courses on there.

Amy Wong achieved her QTLS in July. Huge congratulations to her! Amy worked so hard, and her portfolio was outstanding, showing what an amazing and reflective teacher she is.

Kirsty Taylor, Training Delivery Manager

We have lots of exciting things to celebrate in the South Team!! The fact that we have secured a 65% QAR so far is phenomenal! And we can see that 70% in sight - a huge achievement for you all. I am very proud of how hard you have worked to get here. HUGE thank you to all of you!

We also have a few team celebrations ... First up is our beautiful bride, Claire Emptage, who recently got married. Congratulations, Claire, on becoming a Mrs, and now to get used to not planning anything (except your completions of course, ha-ha!)

And secondly, we have a very proud mum on the team, celebrations for Sarah Briginshaw, who has seen her daughter graduate from Cardiff University with a Bachelor of Adult Nursing degree and has already secured a job at Cardiff University Hospital as a haematology/oncology nurse!! Sarah can celebrate that her daughter can now finally pay her own way and is able to plan her own holiday for next year! ��

I would like to say a HUGE thank you to our amazing IQAs for the work they have been doing with completions. They have worked tirelessly processing and clearing actions, with lots of pre-sampling to support moving learners through to EPA. Remarkable work, ladies!

I would like to say a huge thank you to all who came into the office and helped with our recruitment campaign. Kylie and Anna have so much passion for their roles in helping settings and apprentices in the Early Years sector, and it has been amazing to be a part of making the campaign happen. The idea of the campaign is to get more nurseries in the Birmingham area on board and using our recruitment service – we have plenty of candidates, but not enough settings, so please spread the word about our fabulous recruitment team! We are also expecting to see more training, software, and website sign-ups from the campaign. The hard work has only just begun – the recruitment team will be following up on all of the packs sent out to the settings and will be showcasing why they should choose Parenta!

New Funding Rules:
During August, the Sales and TA team will be following the new funding rules! We would like to say a special thank you to Jo for her training videos and support with this.

A shout out to proud mum Kirsty Wright in our Quality Team! Her daughter, Rhianna Wright made a memorable debut at the British Masters Championships at the London Aquatic Centre, winning bronze in the 100m Butterfly with a personal best! She also broke the 30-second barrier in the 50m Freestyle and narrowly missed another PB in the 50m Backstroke. What an achievement!

Charlie Gordon – Training Delivery Manager, London and Essex

The last few weeks have been crazy busy with all the recent changes, especially around the Functional Skills Opt Outs - and of course, the rush of Year End!

Despite the challenges, our team has been working our socks off to push towards our 60% QAR target.

I would also like to take a moment to recognise all the parents and carers whose children have just completed their GCSEs. This is such an exciting time as they prepare to step into the ‘big wide world’ - whether that’s college, sixth form, an apprenticeship, or, like my own son, heading off to Army College in September. Wishing them all the very best on their next adventure!

We have an author in our team! Deborah Green has had her first children’s book published! It’s called Stinky Minty and can be purchased on Amazon Kindle here . A little about this beautiful book:

“Stinky Minty” is a heartwarming children’s story about a lonely bird named Minty who sets off on an adventure to find friendship. Along the way, he meets a variety of colourful birds - flamingos, ducks, peacocks, eagles, and a swan - each gifting him a feather that symbolises a special connection. Through these encounters, Minty’s loneliness is replaced with joy, celebrating themes of friendship, acceptance, and belonging. The story is lovingly dedicated to the author’s father, who inspired her love of birds.

Proving our commitment to the sector, we have developed a unique solution to the ever-growing staffing crisis and have launched a Fast-Track Level 3 EYE apprenticeship.

Fast-Track Level 3 Entry Criteria For Employers:

The employer must be present during any learner(s) onboarding call.
The employer must attend every review.

Fast-Track Level 3 Entry Criteria For Learners:

Learners must hold Level 2 Maths (or equivalent) or be prepared to sit a supervised initial assessment on BKSB and must score Level 1.5 and above. If they require Maths and meet the above criteria, they MUST complete work every week via the online course.
Learners must have an established group of Key Children practice (circa 3 months of OPA -observation, planning and assessment).
Learners must commit to attending 1 live teaching session per theme.
To complete the fast-track level 3 apprenticeship in the accelerated timeframe, learners will be required to complete extra off-the-job hours every week.

Donna P and I had two productive and enjoyable days at this years Childcare Expo. Visitor numbers were the best we have seen, and we held many fantastic conversations with potential new customers. We gathered more than 80 leads, sold some Childcare SuperHero t- shirts and copies of Allan's book. The Sales Team is in the process of following up on the leads and we hope to share news of some successful conversions.

Join the 2025 Parenta Trust Maidstone to Monaco Rally!

It’s back! Registration is now open for this exciting 2,000-mile road trip from 25th to 29th June 2025, crossing eight countries, including the stunning Furka Pass. More than just an adventure, this rally supports Parenta Trust's mission to build schools for orphaned and disadvantaged children in deprived areas worldwide.

Enjoy daily challenges, camaraderie, and the chance to make a meaningful impact, with funds raised going directly to creating schools in Eastern Africa. To date, six schools have been built, giving 1,400 children annually the chance to thrive through education.

Learners must have an established group of Key Children practice (circa 3 months of OPA -observation, planning and assessment).
Learners must commit to attending 1 live teaching session per theme.
To complete the fast-track level 3 apprenticeship in the accelerated timeframe, learners will be required to complete extra off-the-job hours every week.

Welcome to the March issue of Purple Post!

We had a fun and fruitful 2 days at the Childcare and Education Expo last weekend. A full report will follow this month, once all the leads have been followed up and analysed, but it was good to be attending an exhibition again!

Richelle and Donna P. set off for the Childcare and Education expo last Thursday, excited for two busy days wowing all the visitors to our stand with their Training and Software expertise. They weren’t disappointed! Full report to follow in the next issue (they just got back yesterday!) but in the meantime, here are a few pictures from the weekend!

A big well done to Suki and Donna for getting packs signed and sent over to MIS for processing on the same day as enrolment – great teamwork and efficiency!

Looking ahead, our team will now be covering the new Functional Skills (FS) opt-out rules introduced by the DfE. We’ll be providing IAG (Information, Advice & Guidance) to our managers and learners to ensure they fully understand the requirements and can make informed decisions. A key point to remember is that Level 3 learners need to have Level 2 FS in English (or an equivalent) to be counted in ratio.

In March, we’re excited to welcome Sophie, who will be joining us as a Business Admin Apprentice. She’ll be supporting our team, employers, and learners throughout the onboarding process.

Teaching & Learning – February sees the start of a new approach to T&L with all theme templates and pre-task work being available on One File.

Of course, attending live teaching sessions is still key for learners to:

• Engage in open discussion with peers from across the early years network

• Discuss the task to complete

• Live one-to-one interaction with a teacher to direct any questions

• Complete interactive activities that can be used towards your EPA

• Listen to ideas from your peers in break-out activities

The EPA team have started to use template feedback guides to support learners following on from final mock assessments – this feedback helps learners to see how they can work towards Distinction grades and further supports additional research and revision.

Talking of Distinction, we’re thrilled to share that we have achieved our first Distinction overall grade! The successful learner Stephanie Beal was supported throughout by her tutor Naomi Paternoster. Stephanie attended all teaching sessions with Nicola Navuasese and worked closely with EPA Coach Dawn Fryer. What an achievement - well done all!

It’s back! Registration is now open for this exciting 2,000-mile road trip from 25th to 29th June 2025, crossing eight countries, including the stunning Furka Pass. More than just an adventure, this rally supports Parenta Trust's mission to build pre-schools for orphaned and disadvantaged children in deprived areas worldwide.

Enjoy daily challenges, camaraderie, and the chance to make a meaningful impact, with funds raised going directly to creating schools in Eastern Africa. To date, six pre-schools have been built, giving 1,400 children annually the chance to thrive through education.

2024 wasn’t without its challenges - from navigating cashflow pressures and striving for better QAR, to tackling the work surrounding out-of-funded learners and addressing clawback after the ‘hard close’. Each of these hurdles demanded extra effort, patience, and resilience. Through it all, your teamwork and dedication have been outstanding. As we approach the end of the year, I want to take a moment to acknowledge the tremendous effort you have all put in throughout 2024. It hasn’t been an easy year - our cashflow challenges, the work to clear out-of-funded learners, and addressing the clawback after hard-close have meant extra pressure on everyone.

Despite these challenges, your hard work and dedication have shone through - you’re the heart of this company, and it’s because of your commitment that we continue to change children’s lives every single day.

December is always a special month - a time to reflect on what we’ve achieved, celebrate our successes and look forward to the opportunities ahead.

Our new Parenta Trust school has opened!

More good news…. our 6th Parenta Trust pre-school, Wisdom Nursery School, in Rwanda, has opened, and will provide early years education to over 230 orphaned and disadvantaged children every year! This milestone highlights the Trust’s dedication to improving access to quality education across Eastern Africa. The school was opened in memory of the late Nigel Hutchings, whose fundraising efforts went towards making this vision a reality.

The highly-anticipated Parenta Trust Maidstone to Monaco rally will return next June – a highlight in the Parenta Trust fund-raising calendar. During this exciting five-day escapade, teams in a variety of cars and motorbikes (some old bangers, some newer models!) travel through eight countries, traverse the Alps and negotiate the winding roads of the Furka Pass in some of the hottest temperatures ever recorded. Teams camp under the stars and take part in various challenges along the way, before reaching their final destination of glamorous Monaco - all in aid of “the drive to build a school” .

Proving our commitment to the sector, we have developed a unique solution to the ever-growing staffing crisis and have launched a Fast-Track Level 3 EYE apprenticeship.

Fast-Track Level 3 Entry Criteria For Employers:

The employer must be present during any learner(s) onboarding call.
The employer must attend every review.

Fast-Track Level 3 Entry Criteria For Learners:

Learners must hold Level 2 Maths (or equivalent) or be prepared to sit a supervised initial assessment on BKSB and must score Level 1.5 and above. If they require Maths and meet the above criteria, they MUST complete work every week via the online course.
Learners must have an established group of Key Children practice (circa 3 months of OPA -observation, planning and assessment).
Learners must commit to attending 1 live teaching session per theme.
To complete the fast-track level 3 apprenticeship in the accelerated timeframe, learners will be required to complete extra off-the-job hours every week.

Quarter 3 Company Update from Allan

After a challenging start this year, there’s some good news in Quarter 3!

Our sales are up compared to the same period last year, with 417 starts versus 382. Including starts from our outsourced team; September 2024 marked our highest monthly starts in company history - a massive achievement! Huge thanks go out to the Sales and Starts teams, Marketing, MIS, and everyone contributing to these referrals.

However, while we’re up for this quarter, our year-to-date numbers are still down, impacting revenue, which trails by about £1 million against our plan. A strong Q4 is crucial, and with new sales processes and staff additions, we’re well-positioned to achieve this.

In our Software and Websites division, we saw a revenue boost, thanks to Anastasia and Adele’s work with a new client, Suffolk Childcare Agency (SCA) . While software revenue hasn’t risen, website provision has, which is a positive step. Marketing also had strong results with long-letter direct mail campaigns, yielding response rates two to three times above industry averages.

New welcome boxes for customers have been launched, and delivery staff have received theirs too. We’re encouraging everyone to post photos in our new Childcare SuperHero Facebook group so we can prepopulate it with activity so our customers can add to it. Additionally, feedback on the welcome boxes - positive or negative - is crucial for refining this customer experience.

Kudos to our MIS and Audit teams for keeping Dlocks (data errors with ESFA submissions) at zero this year - a big improvement from prior years when these could tie up £7,000–£10,000 monthly. Our software team also delivered two major updates this quarter, including new rules for under-3s funding and the Parent Pay feature.

What Went Well

Our completions were a mix this quarter, with some real highlights. July saw a record-breaking 158 achievers, more than doubling the numbers of the previous two years! However, completions dropped in August and September, which has set us back a bit. Moving forward, we’re focusing on supporting completions to keep the momentum going.

What Could Be Even Better

One area to improve is managing overdue completions, or OOFs (Out Of Funding). These currently hold about £500,000, impacting our ability to invest in new opportunities and adding extra work for our tutors, as learners in this category no longer bring in revenue. Addressing this will help us ease financial pressures and open the door to fresh resources for the team.

Our QAR (Quality Achievement Rate) for 2023/24 is on track to reach 55%, the same as last year, though we’re aiming for 60% to reach the ESFA “Good” rating. The gap is mainly due to withdrawals rather than completions, so we’re prioritising monthly learner check-ins and proactive support for those falling behind. With tutor caseloads recently reduced, around 22% of learners remain behind schedule, and boosting engagement here will be a key focus to help reduce OOFs.

We’re also working to reduce clawbacks, which occur when we’re missing the documentation needed to claim funds, such as learning proof. Thanks to Jo Wade’s hard work, we’ve already made great strides, but keeping up this progress will help further reduce financial impact.

Focusing on Completions

As an Independent Training Provider, completions are vital to us, both for maintaining our ESFA Quality Achievement Rate and for financial sustainability. Our goal is to maintain a QAR above 50% to keep our contract secure, and we’re targeting over 60% to qualify for “Good” standing. Falling below these standards could impact our ability to operate, so keeping a strong QAR is essential.

From a financial perspective, completions contribute around 20% of each qualification’s value - meaning about £800 for L2, £1,400 for L3, and £1,600 for L5. Completing on time is essential for these returns, which help fund staff and resources. When learners go into OOFs, our tutors continue supporting them without compensation, which can add to their workload.

Our OOFs also impact our cash flow, as covering the costs requires us to borrow at about 10% interest, which currently runs to around £50,000 annually. This limits our ability to reinvest in our team and resources. Addressing this will be key to building a financially resilient future for all.

We’re highlighting the impact of OOFs to underscore why timely completions are so helpful to our success, rather than to add any pressure. Reaching the ESFA “Good” category at 60% QAR will allow us to bring more resources into our business, making everyone’s experience even better. The management team is committed to getting completions back on track and addressing this backlog to ensure a sustainable, strong future for us all.

What a month October has been! We have managed to ensure all learners have active learning for the new academic year which is fabulous!! Well, done all! ��

As the darker nights draw in and the weather gets a bit colder, we have to really dig deep to keep our mojo! But…. we have so much to celebrate and to be grateful for. We are lucky enough to work in a company that allows us that flexibility to go for a walk in the day if needed or go to appointments for ourselves or our children. This helps us keep happy and healthy, particularly in the latter months of the year.

In November I want us to remember this and ensure we are looking after ourselves! We have a big job to do with completions and at-risk learners etc, but we need to do this feeling fabulous and with energy! Let’s keep that positivity going and have an amazing November!!

Tied in with above, but what is the financial health of the company, i.e. are we above, on par, or below where we expect to be? What does the future look like?

In summary, Allan acknowledged the team’s frustrations, particularly around QAR, but urged everyone to stay focused. He highlighted the importance of pushing through current tasks – from getting those completions in, especially those who don’t need functional skills, tackling OOFs, and reducing WDs. By completing these tasks, we could then unlock £500,000, which can be reinvested into future projects, including boosting social engagement efforts and looking at pay reviews. Allan emphasised the success of the May event and expressed hopes to organise another one before the year’s end or early next year. He stressed the importance of increasing social engagement moving forward. Although the numbers for starts and QAR aren’t quite where we want them, Allan praised the team’s dedication and highlighted the real difference they make in children’s lives. He urged everyone to take pride in their work and the positive feedback they receive every day.
